My Account

The My Account section of the Administration Interface displays your Inbox and account details. You can use your Inbox to view and manage any messages that are sent to you by Squiz Matrix. For example, you will be sent a message if your approval is required for a workflow step to proceed. You can also access the My Details screen to edit the details of your account.

Tip: If you have entered your email address in your account details, the messages that you receive in your Inbox will also be sent to that email address.

When you click on the 5-0-0_my-space-icon.png tab, the Asset Map is replaced with the options that are shown in the figure to the right.

My Inbox

The My Inbox section allows you to manage your messages.

To view your Inbox click on either My Inbox heading or the View your inbox link under the Inbox Actions. You can also click on the actions Send a new message,View sent messages and View trashed messages. These actions are described below.

View your inbox

When you click on the View your inbox link, your Inbox will appear, as shown in the figure below.

This screen allows you to view the messages in your Inbox. To view a message click on the Subject of the message in the list – it will appear in the lower half of the screen, as shown in the figure below.

For each message in your Inbox, the following information is shown:

  • Priority: the first icon that is shown in the list indicates the priority of the message. For example, in the figure above, all messages have a Standard priority as the Standard priority icon icon is displayed against each message. Other priorities include HighestHighest priority icon, HighHigh priority icon, LowLow priority icon, and LowestLowest priority icon.
  • From: this column shows the name of the user that sent the message. It also shows the icon to indicate what type of user they are. For example, in the figure above John Smith is a Backend User as the backend user icon icon is displayed against his name. Other types of users include the Root Userroot user icon and the System Administratorsys admin user icon.
  • Subject: this column shows the subject of the message.
  • Sent: this column shows the date and time the message was sent.
  • Read: this icon indicates whether this message has been read or not. The Message read icon icon indicates that the message has been read and the Message unread iconicon indicates that the message has not been read. To mark a message as read, either click on the Subject of the message or select the check box. To mark a read message as unread, untick the check box.
  • Delete: to delete a message, select this check box and click Commit. To delete all of the messages in your Inbox, click on the check box at the top of the column and click Commit. When you delete a message from your Inbox it is moved to the trashed messages section. You can retrieve your trashed messages at any time. For more information on how to retrieve your trashed messages, refer to the View trashed messages section in this chapter.

Tip: You can view your messages without having to click the Acquire Lock(s) button on the Inbox screen. To delete a message however, you need to click the Acquire Lock(s) button.

Send a new message

When you click on the Send a new message link, the New Message screen will appear, as shown in the figure below.

The New Message screen allows you to send a message to another user in the system. For example, if you are a Backend User, you can send a message to a System Administrator requesting them to make an asset Live for you.

  • To: select the User you want to send the message to. This user can be a User, Backend UserSystem Administrator or Root User. To send the message to more than one User, click on the More... button. An additional field will appear where you can select another User.
  • Subject: enter the subject for the message into the text box.
  • Priority: select the priority for the message from the list provided. You can choose from Highest, High, Standard, Low, or Lowest. When the person receives the message in their Squiz MatrixInbox, an icon will be displayed against the message depending on which priority you have chosen. These icons include HighestHighest priority icon ,HighHigh priority icon , StandardStandard priority icon , LowLow priority icon , andLowestLowest priority icon .
  • Message: type your message into the text box at the bottom of the screen.

Once you have filled out the required information, click Commit. This will send the message to the User(s) listed in the To field.

View sent messages

When you click on the View sent messages link, the Sent screen will appear as shown in the figure below.

This screen allows you to view the messages that you have sent to other Squiz Matrix users. To view a message click on the Subject of the message in the list – it will appear in the bottom half of the screen. For each message that you have sent, the following information is shown:

  • Priority: the first icon that is shown in the list indicates the priority of the message. These priorities include HighestHighest priority icon , High High priority icon, StandardStandard priority icon ,LowLow priority icon , and LowestLowest priority icon .
  • Subject: this column shows the subject of the message.
  • Sent: this column shows the date and time the message was sent.
  • Delete: to delete a message select this check box and click Commit. To delete all of the messages on the Sent messages screen, click on the check box at the top of the column and click Commit. When you delete a message from your Sent messages, it is moved to the trashed messages section. You can retrieve your trashed messages at any time. For more information on how to retrieve your trashed messages, refer to the View trashed messages section below.

When you click on the View trashed messages link, the Trash screen will appear, as shown in the figure below.

This screen lists the messages that have been trashed from either your Inbox or your Sent messages. To view a message, click on the Subject of the message in the list – it will appear in the bottom half of the screen. For each message in the list, the following information is shown:

  • Priority: the first icon that is shown in the list indicates the priority of the message. These priorities include HighestHighest priority icon ,High High priority icon ,StandardStandard priority icon ,LowLow priority icon ,and Lowest Lowest priority icon .
  • From: this column shows the name of the user that sent the message. It also shows the icon to indicate the type of user they are.
  • Subject: this column shows the subject of the message.
  • Sent: this column shows the date and time the message was sent.
  • Recover: to recover a message from the Trash, select this check box and click Commit. To recover all messages in the list, select the check box at the top of the column and click Commit. The message will be moved out of the Trash and back to your Inbox or Sent messages.
  • Purge: to permanently delete a message, select this check box and click Commit. To permanently delete all of the messages in the list, select the check box at the top of the column and click Commit. Once you have purged a message it is not possible to recover it.

My Details

The My Details section allows you to view and update your account details. When you click on the My Details link, the Details screen of your user account will appear.

For more information on the Status, Future Status and Thumbnail sections, refer to the Details Screen chapter in the Asset Screens manual.

User Details

The User Details section is shown in the figure below. This section allows you to change your account details.

  • Username: by default, your Username will appear in this field. To change your Username, click in this field and enter a new Username.
  • Password: these fields allow you to change your Password. To do this, click within the first field and enter your new Password. In the second field, confirm your new Password by entering it again.

Tip: If you do not want to change your Password, leave these fields blank.

If there are any rules that you need to follow for your Password they will be listed under the boxes, as highlight in the figure below.

  • First Name: enter your first name into this field.
  • Last Name: enter your last name into this field.
  • Email: enter your email address into this field. If you receive a message in your Squiz MatrixInbox, it will also be sent to this email address.
Locks

This section allows you to release the locks that you currently hold. To do this, select Yes from the Release Held Locks list and click Commit. If you have not acquired the lock on the Details screen, a button is seen instead of a list in the Release Held Locks field, as shown in the figure below.

You can release the locks by clicking the Release All Locks button without having to Acquire the Lock(s).

Please note that the option to release your locks will not be displayed if you are using the Memcache asset locking service. For more information, refer to the Memcache Configuration chapter in the Server Administrator manual.

Reading a Message in Your Inbox

To read a message in your Inbox, follow the steps outlined below:

  1. Click on the 5-0-0_my-space-icon.png tab on the left hand side of the screen. The Asset Map will be replaced with the My Inbox and My Details sections.
  2. Click on either the My Inbox or the View your inbox link. The Inbox screen will appear on the right hand side of the screen.
  3. Click on the Subject for the message you would like to read. The message will appear in the box in the lower half of the screen.

Deleting a Message in Your Inbox

To delete a message in your Inbox, follow the steps outlined below:

  1. Click on the 5-0-0_my-space-icon.png tab on the left hand side of the screen. The Asset Map will be replaced with the My Inbox and My Details sections.
  2. Click on either the My Inbox or the View your inbox link. The Inbox screen will appear on the right hand side of the screen.
  3. Click the Acquire Lock(s) button at the top of the screen. A Delete column will appear next to all messages in the list.
  4. To delete a single message select the Delete check box and click Commit. To Delete all of the messages in your Inbox, click on the Delete check box at the top of the column and click Commit.

When you delete a message from your Inbox, it is moved to the trashed messages section. You can retrieve your trashed messages at any time. For more information on how to retrieve your trashed messages, refer to the View trashed messages section in this chapter.

Sending a Message

To send a message from your Inbox, follow the steps outlined below:

  1. Click on the 5-0-0_my-space-icon.png tab on the left hand side of the screen. The Asset Map will be replaced with the My Inbox and My Details sections.
  2. Click on the Send a new message link. The New Message screen will appear on the right hand side of the screen.
  3. Click the Acquire Lock(s) button at the top of the screen. The New Message section will appear on the screen. For more information about these fields, refer to the Send a New Message section in this chapter.
  4. Fill out the required information and click Commit. The message will be sent to the User that has been selected in the To field.

Recovering a Message From Your Trash

To recover a message from your trashed messages, follow the steps outlined below:

  1. Click on the 5-0-0_my-space-icon.png tab on the left hand side of the screen. The Asset Map will be replaced with the My Inbox and My Details sections.
  2. Click on the View trashed messages link. The Trash screen will appear on the right hand side of the screen.
  3. Click the Acquire Lock(s) button at the top of the screen. A Recover column will appear next to all of the messages in the list.

To recover a single message, select the Recover check box for that message and click Commit. To Recover all of the messages in your Trash, click on the Recover check box at the top of the column and click Commit. The message will be moved out of the Trash and back to your Inbox or Sentmessages.

Purging the Messages in Your Trash

To purge a message from your trashed messages follow the steps outlined below:

  1. Click on the 5-0-0_my-space-icon.png tab on the left hand side of the screen. The Asset Map will be replaced with the My Inbox and My Details sections.
  2. Click on the View trashed messages link. The Trash screen will appear on the right hand side of the screen.
  3. Click the Acquire Lock(s) button at the top of the screen. A Purge column will appear next to all of the messages in the list.

To purge a single message, select the Purge check box for that message and click Commit. To Purge all of the messages in your Trash, click on the Purge check box at the top of the column and click Commit. Once you have purged a message, it is not possible to recover it.

Changing Your Account Details and Password

To change your account details follow the steps outlined below:

  1. Click on the 5-0-0_my-space-icon.png tab on the left hand side of the screen. The Asset Map will be replaced with the My Inbox and My Details sections.
  2. Click on the My Details link. The Details screen of your user account will appear on the right hand side of the screen.
  3. Click the Acquire Lock(s) button at the top of the screen.
  4. Edit your account details through the fields that are available in the User Details section of the screen. These fields include Username, Password, First Name, Last Name and Email. For more information about these fields, refer to the User Details section in this chapter.

Once you have filled out the required information, click Commit.

Releasing All of Your Locks

To release all of the locks that you currently hold in the system follow the steps outlined below:

  1. Click on the 5-0-0_my-space-icon.png tab on the left hand side of the screen. The Asset Map will be replaced with the My Inbox and My Details sections.
  2. Click on the My Details link. The Details screen of your user account will appear on the right hand side of the screen.
  3. If you have acquired the lock on the Details screen, select Yes from the Release Held Locks list and click Commit. If you have not acquired the lock on the Details screen, a button is seen instead of a list in the Release Held Locks field. Click on the Release All Locks button.
